Check Out Policies/Loan Periods

All patrons must have an ID in order to check out materials. University of Colorado students, faculty and staff must have a current valid CU ID card. Faculty and staff spouses may obtain a borrower’s card at the circulation desk. Alumni may obtain borrowing privileges after verification of alumni status. Listening In students with appropriate identification may obtain a special borrowers card.

Colorado Library Card patrons may use a public library/school card with the CLC emblem. CLC patrons are limited to the checkout of 5 items.

Students from other Colorado universities and colleges may use their school ID cards provided we have reciprocal borrowing agreements with their institution. We have agreements with most public universities and colleges as well as a few private institutions. Check with the Circulation desk at 262-3296 for a complete list.

Upon your first visit to the library you will be registered into our library system. UCCS ID cards have a barcode on the back. The barcode number is what you use to place items on hold, review your checkout record, or request items through Prospector.

Loan Periods
Materials are checked out as follows. Items may be renewed 3 times unless there is a hold for an item or otherwise indicated.

Main Collection/Government Documents/Colorado Documents

  • Undergraduates/Alumni/Listening In Students/General Public 3 weeks
  • Graduate students 6 weeks
  • Faculty /Staff 3 months

Children’s Literature

  • 3 weeks for all patrons

Current Periodicals

  • Overnight only for UCCS students
  • 1 day for faculty/staff

Bound Periodicals

  • Bound periodicals may only be checked out by faculty/staff for 2 hours through the reference desk.

Popular Reading

  • 2 weeks for all patrons

Special Collections

Materials located in Special Collections may be requested at the Circulation Desk. These materials may be used in the library for a two hour check out.

Prospector Items 

  • 3 weeks for UCCS students, faculty, staff, alumni using an Alumni Association card and Listening In students with 1 renewal (some media and bound periodicals have shorter checkouts).

Reserves 

  • Check out length varies: 2 hours, 4 hours, 1,3,7 days.
  • 2 hour and 4 hour materials sometimes go out overnight 2 or 4 hours before closing.
  • Course reserves available only to UCCS students faculty, and staff.

Videos/DVDs/Laser discs/CDs/Cassettes/Curriculum/Maps/Annual Reports/Slides

  • 1 week for all patrons 

Reference materials

  •  Do not circulate 

Interlibrary loan materials

  • Available only to current UCCS students, faculty, staff, Listening In students
  • Due dates are identified on each item loaned
  • All renewal requests must go through the interlibrary loan office at 262-3285.

Media Equipment Checkout
The library has a limited amount of media equipment available for check out only by faculty and staff. Available equipment includes: slide projectors, overhead projectors, audiocassette recorders, video cameras, opaque projector, filmstrip projector, laserdisk player, portable PA system.

This equipment is available at the Circulation Desk on a pick up basis only. The library does not deliver or retrieve any equipment. You may call the circulation desk (262-3286) ahead of time to reserve items for use. Any individual checking out equipment is responsible for the return of the equipment.

Renewals
With the exception of items requested through Interlibrary Loan, materials may be renewed over the phone by calling 262-3296 or 262-3286. UCCS affiliated patrons may also  renew books online from the library home page by clicking on the link for My Checkout Record. Email requests may be sent to circdesk@uccs.edu, or a response may be sent to an email circulation notice.

Holds and Recalls
A hold may be placed on any material that is checked out. A patron may do this by clicking on the Request button in the online catalog or by requesting that it be done at the Circulation desk.

Any item is subject to recall if needed for a course reserve.

Faculty/staff checkouts are subject to recall after 6 weeks if requested by another patron.

Fines
There is a 3 day grace period for all materials except Reserve collection materials and periodicals. On the fourth day a fine of $1 is charged with fines accruing at $.50/day after that. Reminder notices are sent by e-mail 3 days before items are due. Overdue notices are sent out the day after an item is due. Library patrons are responsible for knowing when their materials are due regardless of whether or not an overdue notice is received. Materials that are not returned automatically convert to billed status after 30 days.

Reserve materials have higher fines of $.50/hour for hourly checkouts and $2.00 /day for 1, 3 and 7 day checkouts.

Faculty and staff are not charged overdue fines, but if items remain overdue for 50 days they will be billed for replacement costs.

Returning materials
Materials may be returned to either of the circulation desks within the library, to the outside book drop located on the south side of the library, or the book drop located along the outside west wall of the building. Materials may be returned to another library in the state that has courier service to UCCS, however the patron is responsible for all materials until the item(s) are checked in here. Courier deliveries can take several days.

Lost materials
The standard charge for lost library material is $75 or the actual replacement cost of the item, whichever is greater. In addition, there will be a $25 processing fee plus a $20 overdue fine.

If the lost material is eventually returned to the library, the charge will be lowered to a $20 overdue fine per item. If the patron has already paid for the lost items and then returns the material, the patron may receive a refund of the $75 charge or the amount paid if greater than $75. The $25 processing fee will not be refunded. However, if the library has already replaced the material no refund will be available to the patron.

A library patron may choose to replace the item with another copy of the same item. The Head of Technical Services or the Head of User Services must approve replacement copies. The $25 processing fee will still be charged.

Damaged library materials that are beyond repair will be billed as for a lost item.

Damaged items that may be repaired through rebinding will be billed at $20.

Confidentiality of library records
Library circulation records and other records identifying the names of library users are confidential in nature. Such records will not be made available except pursuant to legal process, order or subpoena.
